Innovation and care: the impact of the digital workplace on the work of the Franciscan Sisters

The Franciscan Missionary Sisters of the Nativity of Our Lady have implemented a digital workplace solution in all their European locations and are already planning to extend it to the rest of their international locations in America and Africa, where they have health and training centers. UDS Corporate from Virtual Cable, the solution for large companies based on UDS Enterprise, allows them to manage multiple locations in a simple and centralized way. At the same time, it helps them to deploy customized workstations according to the requirements of the staff at each location (whether they are managers, administrators or more health-related profiles), adapting to the rules and regulations of each region. This initiative has not only improved the security of the organization’s data, it has also optimized accessibility and ease of use for employees, allowing them to focus on what is most important: their mission of caring for and accompanying the elderly and sick.

In 2022, the organization realized that its traditional IT system had become obsolete, making it difficult for both its employees to work and its technical team to respond. “We were limited by a technology that no longer met our current needs,” says Mari-Sol García, IT Manager at the institution, who led the renovation project. “The user experience had been affected, and technical problem solving was becoming more and more complicated,” she adds.

On the recommendation of Claranet, Virtual Cable Platinum Partner, the organization decided to opt for UDS Corporate from Virtual Cable. This workplace virtualization tool provides secure and easy remote access to desktops, ideal for an organization with offices on several continents and a team that needs to operate efficiently, quickly, and securely.

The implementation of this technology has brought significant improvements. The previous system, Microsoft Remote Desktops (RDS), made service performance inconsistent, especially during times of high activity. Now, with personalized virtual desktops (VDI), each user has a dedicated work environment, ensuring a faster and uninterrupted experience, with optimized performance at all times. “With virtual desktops, each user has their own secure work environment; we no longer depend on a shared system that could collapse at critical moments,” García points out.

This system has also made remote access easier, because it allows employees to connect from anywhere through a web browser without the need for additional configurations. This functionality is key for an organization that operates in different countries and needs to maintain communication and access to its systems, even from personal devices, without the need for VPN or previous configurations. Thanks to the versatility of UDS Corporate, they also provide remote access to computers on their premises for employees who need it.

Among the many benefits, the improvement in security stands out, with greater protection against threats such as ransomware. “Each login secures a new machine for the user, which minimizes the risk of incidents and improves agility in operations. This reinforced security gives great peace of mind,” García assures. The system allows for service recovery in record time in the event of an attack, as well as end-to-end data encryption and more precise access control.

The Virtual Cable solution has also improved the availability of its workplaces, which remain constantly updated, and, among other things, has optimized access to printers in the different communities and centers. A decrease in the number of incidents, loss of productivity and time spent by the IT department and external technical service has been noted, generating significant cost savings and favoring return on investment. “IT and technical support teams are now freer to focus on continuous improvement, rather than solving repetitive problems,” concludes García.

The organization’s IT department highlights the solution’s ability to integrate with any third-party technology. This flexibility has allowed for the construction of a completely customized infrastructure, 100% adapted to the specific needs of the organization. Thanks to the seamless integration of different technologies, they have achieved a work environment that not only responds to their current operations, but is also prepared to evolve and grow without technological restrictions, thus avoiding vendor lock-in.

With the implementation of their new smart digital workplace environment, the Franciscan Sisters have renewed their infrastructure and have demonstrated that the use of technology is a great ally to reinforce their commitment to caring for and serving others.
